Our office is pleased to release the following diagram for the use of instructors on campus.
This diagram breaks down copyright permissions with regards to what instructors are distributing to their students and what instructors are using in the classroom. It is a quick reference sheet which covers the following:
- Classroom handouts
- Digital Readings Classroom Management Systems (ie. e-Class, Moodle)
- Tests and Exams
- Printing Course-Packs
- Slides for lectures
- Learning Objects (ie. course notes, manuals)
- Streaming from the Internet
- Showing a movie/film
- Instructor support materials

COPYRIGHT BULLETIN, NO.1
Perhaps one of the more common questions the UofA Copyright Office receives is from instructors who want to include images in their slides. Some want to display images for in-class discussion, whereas others may want to display and post their slides in eClass or Moodle.
Display only does not require permission as there is a section in the Copyright Act for instruction that exempts this activity.
Display and posting may be permitted by a form of pre-authorization (i.e. licence, public domain, subscription), or under a provision for fair dealing that is available by law. If permission to use an image is required, the Copyright Office will contact the owner for permission on your behalf.
The University of Alberta’s “Guidelines for Using Images” provides information and instructions for using images under these various scenarios.

On August 1, 2011, Vice-Provost, Ernie Ingles, issued a communique to all university staff announcing changes in copyright practices at the UofA.
Effective August 31, 2011,the UofA will cease photocopying under the Access Copyright Licence/Interim Tariff. For UofA staff who did not receive a copy of the announcement but would like one, email your request to copyright@ualberta.ca.
The following is an excerpt from the memo:
“Effective August 31, 2011, the implications of this decision are:
- Our agreement with Access Copyright, an organization that has dealt with issues of copyright clearance for copying of Published Works in the past will end.
- Course materials (i.e. course packs and handouts) for the Fall 2011 term, compiled under the Access Copyright Tariff, will need to be printed before August 31, 2011.
- To ensure course packs are printed before August 31, 2011, they should be submitted to SUBprint as soon as possible.
- SUBprint will continue to develop course packs into the future, but will need lengthier lead times in order to seek rights and permissions directly from source.
- Distribution of class material of Published Works, including course packs, for future terms will require an assessment of whether it is an allowable use under the Copyright Act or an existing specific licence (see Library licences above), or whether specific permission of the copyright owner is required.
Without the license, more reliance will be placed on the fair dealing exemption under the Copyright Act, and specific licenses (existing or newly sought). The Copyright Office has provided guidelines (www.copyright.ualberta.ca) to explain in detail how to proceed correctly with your intended copying. In addition, the Copyright Office will have staff resources to seek the necessary permissions for you. Lead time is required when seeking rights and permissions and thus we would ask that you submit your request as far ahead of your class requirement as might be possible.”

The University of Alberta announced today that it will operate under the interim tariff approved by the Copyright Board of Canada in late December 2010.
As a result of the Copyright Board of Canada’s decision to approve Access Copyright’s application for an “interim tariff,” the University of Alberta has determined it will operate for the present under that interim tariff. The university’s decision means it has additional time to continue its consideration of the highly complex copyright landscape and to put in place the proper policy and associated procedures that ensure the U of A’s readiness to operate under any copyright regimen.

The Association of Universities and Colleges of Canada (AUCC), along with many other academic institutuions across Canada, including the University of Alberta, have developed guidelines that provide direction for making copies under fair dealing.
The University of Alberta Fair Dealing Guidelines apply to individuals making copies at machines located on campus for research and private study.
Posters with the guidelines will be mailed out to departments and units in campus mail within the next few weeks. These posters should be placed above, or in the general vicinity of any photocopiers or scanners where copies may be made.

As we move forward with changes in copyright practices, watch for information that displays our new “Check Copyright” symbol.
This symbol will be used on new material in development, such as pamphlets and posters. It will also be displayed on revisions of existing content, including upcoming updates to the FAQs and information sheets.
